The challenge

Forgotten deals are the ones that don't close.

Writing the emails was never the problem. Remembering who never replied was. “A lot of customers don't reply to the things they need to do,” Victor says. So the follow-up lived in two places: the CRM, and his head. Send forty emails, then go back into the system to work out who had been called, who had been emailed, and who was due to hear from him again.

They already had a notetaker through their CRM, so notes alone were not what sold them. What they didn't have was anything that noticed the silence. Kong drafts the follow-up and chases the ones who go quiet, which mattered most for Victor's manager, a heavy emailer who rarely followed up and never opened the CRM. His deals ran on whoever happened to reply. The rest simply stopped, and deals that stop don't close.

What changed

He stopped logging into the CRM.

The clearest change was what disappeared from the day. “I rarely check the CRM system anymore, especially not for new business,” Victor says. “At some point I just stopped logging into HubSpot, because it wasn't needed.” Follow-up no longer lives in his head. When new contacts show up, he knows Kong will make sure they are followed up.

Asked what would happen if Kong went away, he says he would have to rebuild it. Systematic follow-up, notes in place, the right thing at the right time, and remembering what was said three months ago. That is a critical function in a sales team, not an add-on.
